Add tenants for automatic email matching

Adding your tenants to OpsPilot makes everything faster. When someone emails you, we automatically match them to their record and pre-fill all the details.

Why bother adding tenants?

When a tenant's email is in your system:

  • Their requests are automatically linked to their profile
  • Work orders get pre-filled with their address and contact info
  • Access notes (gate codes, parking info, etc.) are included automatically
  • You don't have to look anything up

Adding a tenant

  1. Go to Tenants in the sidebar
  2. Click "Add Tenant"
  3. Fill in what you have:
    • Name (required)
    • Email (this is what we match on)
    • Phone
    • Unit number
    • Property address
    • Access notes

You don't need to fill in everything. At minimum, get their name and email so requests can be matched.

Access notes

This is where you put anything a vendor would need to know:

  • Gate codes
  • Where to park
  • "Dog in the backyard" or pet warnings
  • Lockbox codes
  • Preferred entry times ("tenant works nights, don't arrive before noon")

These notes get automatically included in work orders when you dispatch to a vendor.

Importing tenants

If you have a spreadsheet of tenants, you can import them instead of adding one at a time. Go to Tenants and look for the import option.
