Walk through handling a request from start to finish
Let's walk through handling your first maintenance request in OpsPilot so you know what to expect.
Step 1: Open your inbox
Click "Inbox" in the sidebar. You'll see a list of maintenance requests, each showing:
- The severity number (color-coded)
- A preview of what the issue is
- The category (plumbing, electrical, etc.)
- When it came in
Step 2: Click on a request
The right side of the screen shows all the details:
- Severity - How urgent this is
- Category - What kind of issue
- Cost estimate - A rough ballpark of what repairs might cost
- Draft response - An AI-written reply you can send to the tenant
Step 3: Decide what to do
You have a few options:
Reply to the tenant - Send the AI-generated draft (you can edit it first), or write your own message. Good for acknowledging the request or asking follow-up questions.
Dispatch to a vendor - Create a work order and send it to one of your saved vendors. The work order is pre-filled with the issue details, property address, and tenant contact info.
Mark as handled - If you've dealt with this offline or no action is needed, close it out.
Archive - Remove it from your inbox but keep the record.
Keyboard shortcuts
Once you get comfortable, you can speed through your inbox with keyboard shortcuts. Press ? at any time to see the full list.
The most useful ones:
- j/k or arrow keys to move between requests
- e to mark as handled
- d to dispatch to a vendor
- r to reply
